Privacy Policy for Caucus

Caucus (“the App”) is a conference management and communication application developed for delegates and participants of the conference.
This Privacy Policy explains how Caucus collects, uses, stores, and protects information when you use the App.
1. Information We Collect
Depending on how you use the App, we may collect and process the following information:
Account and delegate information
- Delegate UID
- Name
- Email address
- Phone number
- School/institution
- Committee
- Portfolio/position
- Fee/payment status
- Account role and administrative status
This information is used to authenticate delegates and provide conference-related functionality.
Profile information
Users may upload a profile picture. Profile pictures are stored and used to display the user’s profile within the App.
Chat information
Caucus provides committee-based communication features. Messages sent through the App may include:
- Message content
- Sender information
- Committee information
- Attachments and uploaded files
Chat data is used to provide communication between participants and conference administrators.
Device permissions
The App may request access to the device camera for features that require camera functionality.
The App does not use the camera for continuous background monitoring.
2. How We Use Information
Information collected through Caucus may be used to:
- Authenticate users and provide access to their accounts
- Display delegate and conference information
- Organize delegates according to committees and portfolios
- Provide committee communication features
- Store and display profile pictures
- Store and provide access to chat attachments
- Provide conference-related announcements and services
- Maintain and administer the App
We do not use delegate information for advertising purposes.
3. Data Storage and Security
Caucus uses Supabase for database and file-storage services.
Information is transmitted between the App and our services using secure network connections. Access to stored information is controlled through application and database security policies.
We take reasonable measures to protect user information against unauthorized access, alteration, disclosure, or destruction.
However, no method of electronic storage or transmission can be guaranteed to be completely secure.
4. Sharing of Information
We do not sell or rent users’ personal information.
Information may be processed by service providers that are necessary for operating the App, including infrastructure and storage providers such as Supabase.
Information may also be accessible to authorized conference administrators where necessary for conference administration and management.
We may disclose information when required by applicable law or to protect the security, rights, or property of the App, its users, or the conference.
5. Data Retention
Delegate and conference information may be retained for as long as reasonably necessary to provide conference services, maintain records, resolve disputes, or comply with applicable requirements.
Chat messages, profile information, and uploaded files may be retained while they are required for the operation of the conference and App.
When information is no longer required, it may be deleted or anonymized where reasonably practicable.
6. Account and Data Deletion
Users may request deletion of their account and associated personal information by contacting the conference administrators or the privacy contact listed below.
Upon receiving a valid deletion request, we will review the request and delete applicable personal information and associated account data, subject to information that we are required or permitted to retain for legitimate administrative, legal, or security purposes.
7. Children’s Privacy
Caucus is not specifically directed toward children under the age of 13.
We do not knowingly collect personal information from children under 13 without appropriate authorization. If you believe that a child has provided personal information through the App, please contact us so that we can take appropriate action.
8. Third-Party Services
The App may use third-party services necessary for its operation, including:
Supabase — database, authentication-related infrastructure, and file storage.
These services may process information according to their own privacy policies and applicable agreements.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to the App, our services, or applicable requirements.
The updated version will be published on this page with a revised “Last updated” date.
